How do I reserve a conference room at CIC?

You are welcome to use any of the rooms! They can be reserved at cicmiami.roomzilla.net, and like the rest of our amenities, are available to you 24/7. The details for each specific conference room, including capacities, can be found on the individual Roomzilla pages. You can also walk up to an empty conference room and book it on the spot.

HOW ABOUT A PHONE BOOTH? CAN I RESERVE A PHONE BOOTH?

Absolutely! You can reserve them ahead of time at cicmiamiphonebooths.roomzilla.net. These are also available 24/7. The details for each phone booth are on the Roomzilla page. You can also walk up to an empty phone booth and book it on the spot. 

 

How do I place a conference call?

Simply dial the number you would like to call (remember to dial +1 for long distance calls), and your call will be connected.

If you would like a guest to call in, the phone number for each conference room phone is located on the phone.

 

FOR HOW LONG CAN I RESERVE THE CONFERENCE ROOM?

Conference room usage is unmetered but not unlimited. Please be respectful of your usage of this shared resource and limit your bookings to under five hours at a time. Ideally, all-day meetings should be limited to once per quarter, or four such meetings a year. If you are planning to schedule more than one all-day meeting a quarter, please let our staff know. 

 

CAN I USE A CONFERENCE ROOM BY MYSELF?

Please don't! Conference rooms are intended for meetings of two or more people, and should be reserved based on the size of your meeting. 

 

can an offsite associate book a room?

Offsite associates have more limited privileges regarding the space's resources. They are welcome to participate in meetings in the conference rooms as part of their allotted eight hours per week, provided that a full-time member of their team makes the booking.

 

CAN I HOLD A MEETING AT ANOTHER CIC LOCATION?

Yes, as part of the CIC Passport, our Regular Associate clients can work in shared spaces at all CIC locations across the globe (Offsite Associates can accompany Regular Associates) for 20% of the month. To book a conference room at another location, access the Roomzilla page of the location and alert your Relationship Manager that you will be traveling to another site. This way we can connect you with a local point of contact.

 

How can I give out the conference phone number to my colleagues who need to call in? 

Numbers for each conference room and phonebooth can be found on their respective Roomzilla pages. 

 

Can I host a lunch meeting in a conference room?

Yes! You'll need to make arrangements for lunch to be delivered, and you should provide your phone number for the delivery. When your meeting finishes up, please make sure you leave the conference room as you found it. 

 

SHOULD I CLEAN UP AFTER MYSELF? IS IT BAD IF I LEAVE FOOD OR GARBAGE oR ANYTHING THAT WASN'T IN THE ROOM BEFORE I WAS THERE?

Yes, you should totally clean up after yourself. 

 

Can you help me connect to the TV?

Yes! There are several labels posted on the wall, next to the TV. Remotes should be found inside the cabinets in the conference rooms as well, as well as any cables you may need to connect your laptop to a display. If you're still having trouble, please reach out to our team: helpme@miami.cic.us
