PRIVACY AND NOISE

WHAT IS PROPER ETIQUETTE REGARDING SOUND IN OPEN OFFICE SPACES?

Our goal is to keep cross-office noise as low as possible, especially the most distracting sound to the human ear: human voices.  We would like to make the environment maximally functional for everyone, so we are constantly considering various ways we can improve the auditory environment in those areas.

However, the most improvement will come through the help of the people residing in open spaces.  With that in mind, we ask that you:

  • Keep your voice low while talking to others in your work areas

  • Refrain from using the speakerphone on your phones (the voices on the speakerphone are amplified, and can carry farther than you may realize)

  • Refrain from "on-hook dialing" (pressing "speaker" to dial a number instead of picking up the handset)

  • Lower the volume on your desk phone and mobile (speaker volume and ringer volume) - those sounds carry quite far, so they should be only loud enough for you to hear them when you sit at your desk

  • Use headphones when listening to audio/video on your computer

If you would like to include multiple people in a phone conversation you may do so by using the "Conference" feature on your phone as an alternative to the speakerphone.  

Our open office spaces are not much different from a typical tech company’s cube land from an acoustic perspective, so it should be doable to create a positive, sustainable auditory environment with a bit of ingenuity.  If you have your own thoughts to share with us, please do not hesitate to do so.

WHAT SHOULD I DO IF I HEAR A DISTURBING CONSTRUCTION NOISE?

The building's policy is to schedule loud construction work outside regular business hours (9:00am to 5:00pm). All construction workers should know this building policy.  On rare occasions, the work being done is an emergency repair which may be done at any time if required.

If you are bothered by such a construction noise, please notify a member of the CIC team, ideally by telephone, so we can respond right away. We will work with the building management company and building security to stop the noise and rectify the situation. After hours, such noise may be unavoidable, but feel free to discuss it with us.

WHAT IF I LOCK MYSELF OUT OF MY OFFICE OUTSIDE OF OFFICE HOURS?

If you happen to lock yourself out of your office when none of the CIC staff is around (for example in the weekend or later in the evening) you can call the building's Security Host at +31 10 240 34 34. They can help you into your office if it is urgent. Please note that this service is only available on weekdays until  0:00 and in the weekends until 22:00.  

SUPPLIES AND DECORATIONS

HOW CAN I OBTAIN OFFICE SUPPLIES?

CIC does not provide office supplies to its clients as a normal part of our service package, but if you find yourself in need at the last minute, don't hesitate to ask if we have it.

For non-urgent needs, Amazon.com, Bol.com, Viking, Media Markt, and similar providers do an excellent job with their web-based ordering and delivery.  
There is also a ''Bruna'' office store at Rotterdam central station that doesn't require you checking in with a public transportation card when entering. 

WHO DO I ASK ABOUT ADDITIONAL FURNITURE, ETC.?

Send an email to your specific "helpme" email address (e.g., helpmealpha@cicrotterdam.com if you have your private office) with some details about what you need, and we'll get back to you!

WHAT CAN I USE TO HANG SOMETHING ON THE WALLS OF MY OFFICE?

Our primary objective is to damage the walls as little as possible without preventing you from customizing your office.  Keep in mind that all types of wall adhesives will need to be removed from your walls if you ever vacate your office.

Safe to use on your office walls:

  • Removable stickies that won't pull the paint off the walls, such as 3M's Command Adhesive products

  • Nails are OK for drywall (Occasional nail holes can be patched with spackle.)

Not safe to use on your office walls:

  • Scotch tape, masking tape, or duct tape - all of these will pull the paint and the top layer of drywall off the wall when they are removed, and that type of scarring is difficult to fix.

IS THERE A SHREDDER AVAILABLE?
